Job Summary
We are looking for a highly organized and proactive Project Coordinator to manage the day-to-day coordination of creative and digital projects. The ideal candidate will ensure seamless communication between clients and internal teams, monitor project progress, manage timelines, and ensure projects are delivered on time with the highest quality standards.
The Project Coordinator will work closely with Business Development, and Production teams.
Key Responsibilities :
Project Planning & Coordination
- Coordinate multiple projects simultaneously from project initiation to final delivery.
- Prepare project plans, timelines, task allocations, and delivery schedules.
- Conduct project kick-off meetings with internal teams.
- Monitor project progress and proactively resolve bottlenecks.
- Ensure projects are completed within agreed timelines and budgets
Client Communication
- Act as the primary point of contact for assigned clients
- Understand project requirements and prepare detailed project briefs
- Schedule client meetings and prepare meeting minutes (MoM).
- Provide regular project status updates to clients.
- Manage change requests and communicate revised timelines where required.
Team Coordination
- Coordinate daily with Creative, Tech, and Digital Marketing teams.
- Allocate tasks in collaboration with department heads.
- Follow up on deliverables and ensure adherence to project schedules.
- Escalate project risks or delays to management in a timely manner.
Documentation & Reporting
- Maintain project documentation, timelines, approvals, and version history.
- Track project milestones and resource utilization.
- Prepare weekly and monthly project status reports.
- Ensure all project files are properly organized and archived.
Quality & Process Management
- Ensure deliverables meet client requirements before submission.
- Verify that feedback is incorporated accurately.
- Improve internal project management processes and workflows.
- Support implementation of project management best practices.

Qualifications
- Bachelor’s degree in Business Administration, Marketing, Management, Commerce, or a related field.
- 3–6 years of experience in project coordination or project management within a creative agency, digital agency, advertising agency, or media production environment.
- Certification in Project Management (PMP, PRINCE2, Agile, Scrum, or equivalent) will be an added advantage.

Required Skills & Qualifications :
• 2-5 years of experience in business development, sales, or client servicing (preferably in a creative agency, production house, or marketing firm)
• Proven track record of achieving sales targets and closing deals
• Excellent communication, presentation, and negotiation skills
• Strong network of contacts in the marketing, advertising, or corporate sectors (preferred)
• Good understanding of creative services like design, animation, and video production
• Proficiency in using CRM tools, LinkedIn, and MS Office/Google Workspace
